Privacy and Data Protection

This notice explains how the Embassy of Sweden in Doha processes personal data when you use PlatformSweden.com and the Platform Sweden chatbot SVEA. The Embassy of Sweden in Doha is the data controller for the processing described in this notice. Questions about privacy or data protection can be sent to ambassaden.doha@gov.se.

What information is processed?

Platform Sweden is not designed to collect personal data, and we do not ask you to provide personal information through SVEA.

When you use the website and chatbot, certain technical information may nevertheless be processed automatically, including your IP address and basic browser information.

When you use SVEA, the content of your conversation is also processed in order to generate an answer. Please do not enter personal, confidential or sensitive information in the chatbot. If you need help with an individual or consular matter, please contact the Embassy directly. We do not use IP addresses to identify, profile or track individual users, and we do not use personal data for marketing or advertising.

Legal basis

We process personal data only when there is a lawful basis for doing so. For Platform Sweden and SVEA, this processing supports the Embassy’s public tasks and responsibilities. Where your consent is required, for example for functional, analytics or marketing cookies, we will ask for it before those cookies or similar technologies are used.

How is SVEA provided?

SVEA is provided using SiteGPT, which processes chatbot conversations on behalf of the Embassy and uses additional technical and AI service providers to operate the service. Some of these service providers are located outside the EU/EEA, including in the United States. Where personal data is transferred outside the EU/EEA, the transfer is handled in accordance with applicable data-protection requirements. SiteGPT publishes its current list of subprocessors at sitegpt.ai/legal/subprocessors. When you use SVEA, your question is processed by SiteGPT and the AI services it uses in order to generate an answer. According to SiteGPT, chatbot conversations are not used to train or fine-tune AI models. SVEA is not connected to the Embassy's internal systems or to other Swedish government systems.

YouTube

PlatformSweden.com contains embedded videos provided by YouTube. When you interact with an embedded YouTube video, YouTube may use cookies and similar technologies and may process information relating to your interaction with the video. YouTube is an external service provider and its processing is subject to Google's and YouTube's own privacy policies and terms. Information about cookies and how to manage them is available in our Cookie Policy.

How long do we keep chatbot conversations?

Chatbot conversations are retained for up to 90 days solely for quality assurance. This allows us to check whether SVEA is providing accurate and relevant answers and to identify information that may need to be corrected or updated. After 90 days, conversations are deleted, subject to any applicable legal or records-management requirements. We do not retain chatbot conversations for profiling, marketing, advertising or tracking individual users.

Your rights

If personal data about you is processed through Platform Sweden or SVEA, you have rights under the General Data Protection Regulation (GDPR). Depending on the circumstances, these may include the right to access, correct or request deletion of your personal data, or to object to or restrict certain processing.

You also have the right to lodge a complaint with the Swedish Authority for Privacy Protection, Integritetsskyddsmyndigheten (IMY).
